The Role
We are looking for a highly organized and self-directed Administrator to join our remote team. You will be the bedrock of our operations, providing a foundation of efficiency and responsiveness that allows us to thrive as a close-knit community of managers, artists and contractors. This is an opportunity to work across the full spectrum of our activities – PR, communications, label services, bookings, publishing, special projects and even music management training - across multiple territories.
We're seeking someone who is not easily phased by fast-paced, challenging environments and who can approach obstacles with a driven attitude and a willingness to learn.
Responsibilities
Operations Backbone:
- Provide administrative and logistical support across PR, communications, label services, touring, live events, and music management training activities.
- Manage artist and client files, ensuring accurate and up-to-date records.
- Craft and maintain efficient filing systems for all workstreams.
- Facilitate communication and collaboration between team members and artists.
PR & Communications Support:
- Assist with press releases, media & industry database, and social media management.
- Monitor industry publications and media coverage for our artists.
- Develop and maintain press kits and other promotional materials.
Label Services & Publishing Support:
- Assist with distribution, licensing, and royalty tracking and accounting for our artists' releases.
- Maintain & update songwriters and composers works catalogue on Performing Rights Societies portals and databases.
Music Management Training Support:
- Assist with the administration of the music management training program.
- Coordinate enrollment, scheduling, and communication with trainees.
- Provide logistical support for training workshops and events.
Growth & Development:
- Embrace and seek opportunities to learn and grow within and outside the agency.
- Take initiative in exploring new tools and workflows to improve efficiency.
Person Specification:
- Music Enthusiast & avid listener.
- Minimum two years of experience in a communication or administrative role. Preferably within the music industry.
- Fluent in spoken and written Arabic and English.
- Working knowledge of accounting and budgeting principles.
- Proficient in various CRM, CMS, and other data and content creation and maintenance tools.
- Thrives in a remote work environment with minimal supervision.
- Takes initiative and ownership of tasks.
- Manages workload effectively, prioritizes tasks, and meets deadlines independently.
- Possesses strong organizational and time management skills.
- Proven ability to prioritize and work independently.
- Maintains a strong attention to detail and is dedicated to accuracy.
- A solution-oriented quick thinker who can stay calm and solve problems under pressure.
- Demonstrates resilience and the ability to bounce back from setbacks quickly while maintaining a positive attitude.
